Projects

Projects in Effici let you track the financial performance of every client engagement in real time. You can see at a glance whether a project is on budget, how many hours have been logged, and what the margin looks like.

Create a project

  1. Go to Projects and click New project
  2. Name the project and select the client
  3. Optionally link an order — this connects the project to the commercial record
  4. Set the project dates (start and expected end)

Set a budget

Adding a budget lets Effici show you how much of the project value has been consumed:

  • Revenue budget — the agreed project value (usually matches the order total)
  • Cost budget — the internal cost target (staff time, subcontractors, expenses)
  • Margin target — calculated automatically from revenue and cost budgets

If you've linked an order, the revenue budget is pre-filled from the order total.

Add team members

Assign team members to the project so they can log time against it. Each member can have:

  • Role — e.g. Designer, Developer, Account Manager
  • Billable rate — the rate used when invoicing tracked time
  • Cost rate — the internal cost rate used for P&L calculation

Track costs

In addition to time, you can log direct costs against a project:

  • Expenses — travel, software, subcontractor invoices
  • Materials — physical goods purchased for the project
  • Third-party services — costs that are rechargeable to the client or internal

Each cost entry shows up in the project P&L.

Monitor progress

The project dashboard shows:

  • Hours logged vs. hours budgeted
  • Revenue recognised vs. budget
  • Costs incurred vs. cost budget
  • Current margin percentage

You can see this for the project overall and broken down by team member.

Close a project

When work is complete and all time has been invoiced, mark the project as Closed. Closed projects are excluded from active dashboards but remain in your history and reports.
