Document Templates

Every quote and invoice sent from Effici uses a document template. You can customise the template to match your brand — adding your logo, adjusting colours, and configuring the content that appears on each document type.

Access templates

Go to Settings → Document templates. You'll see separate templates for:

  • Quotes — the template used for all quotes sent to clients
  • Invoices — the template used for all invoices

Each template is configured independently.

What you can customise

Branding

  • Logo — upload your company logo (PNG or SVG, recommended size 300×100px). Appears in the top-left of all documents.
  • Primary colour — used for headings and accent elements
  • Font — choose from a selection of professional fonts

Header and footer

  • Header — appears at the top of the document below your logo. Use it for your tagline or a short message.
  • Footer — appears at the bottom of every page. Typically used for:
    • Bank account details
    • Company registration number
    • Payment instructions
    • Thank-you message

Line item columns

Choose which columns appear in the line items table:

  • Description (always shown)
  • Quantity
  • Unit
  • Unit price
  • VAT rate
  • Line total

You can hide columns you don't need (e.g. hide "Unit" if you always bill by project rather than units).

Numbering and reference

  • Invoice prefix — e.g. INV- produces INV-0001, INV-0002
  • Quote prefix — e.g. QUO-
  • Starting number — if migrating from another system, start from your last number
  • Reference field — optionally show a client PO reference field on invoices

Preview

As you edit the template, a live preview shows how documents will look before you save. You can also generate a sample PDF to see the final output.

Per-client overrides

If one client requires a different format (e.g. a specific column layout or different footer text), you can set a template override on the partner record. That client will use the overridden template for all their documents.
